This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website (getyourtutors.com) and use our tutoring services.
2. What Personal Data We Collect
We may collect the following categories of personal data:
- Identity data: Full name of parent/guardian and student.
- Contact data: Email address, phone number (including WhatsApp number), and postal address.
- Educational data: Student grade level, curriculum, subjects studied, and academic performance notes.
- Technical data: IP address, browser type and version, operating system, time zone, and pages visited.
- Usage data: How you navigate and interact with our website, including page views, session duration, and referring sources.
- Cookie data: Identifiers stored on your device by cookies and similar tracking technologies (see Section 9).
- Communication data: Contents of messages you send us via contact forms, email, phone, or WhatsApp.
We do not collect sensitive personal data such as biometric data, health information, or government-issued identification numbers.
3. How We Collect Your Data
We collect personal data through the following methods:
- Website forms: When you submit our contact form, hire-a-tutor form, or get-a-quote form.
- Email and phone: When you contact us by email, phone call, or WhatsApp message.
- Strictly necessary cookies: Automatically when you visit our website, through the small set of essential cookies described in our Cookie Policy. We do not use third-party analytics or tracking cookies.
- On-device storage: Our free English learning check keeps your child's progress in your browser until you close the tab, or for up to 7 days if you choose. It is kept in your browser; we don't receive it. Our Cookie Policy says more.
- Server records: when you visit, our hosting company and Cloudflare, which delivers our website to your browser, record requests for pages and files on their own servers. Section 11 says what these records can include, and how long we keep our own copies.
- Service delivery: During the course of providing tutoring services, including lesson scheduling, progress reporting, and invoicing.
4. Purpose of Data Collection
We use your personal data for the following specific purposes:
- Service delivery: To match you with a suitable tutor, schedule lessons, and provide ongoing tutoring support.
- Communication: To respond to your enquiries, provide updates on your child's progress, and send service-related notices.
- Marketing: To send you information about our services, educational resources, and promotions (only with your consent, and you may opt out at any time).
- Website improvement: To keep our website working and to look into technical problems with it, using the server records described in Section 3, and to identify areas for improvement.
- Legal compliance: To comply with UAE laws, regulations, and legal obligations, and to protect our rights and interests.
5. Legal Basis for Processing
Under the UAE Personal Data Protection Law (Federal Decree-Law No. 45/2021), we rely on these legal grounds:
- Contractual necessity: Processing is necessary to fulfil our contract with you — for example, matching you with a tutor, scheduling lessons, and processing invoices.
- Consent: Where you have given us explicit consent to process your data for a specific purpose — for example, subscribing to our newsletter or allowing marketing communications.
- Your enquiry: When you ask us about a tutor for your child, or ask us to call you back about tutoring, we use the details you give us about you and your child to answer your enquiry and to follow it up until it is resolved.
- Legal obligation: Processing is necessary to comply with a legal requirement — for example, retaining financial records for UAE tax and accounting regulations.
We do not name a legal ground for our website's server records, its security cookie, or the other details our form service records when you send a form, such as the page you sent it from. Sections 4, 9 and 11 and the section on our free English learning check describe them; our Cookie Policy also describes the cookie.
You may withdraw your consent at any time by contacting us at info@getyourtutors.com. Withdrawing consent does not affect the lawfulness of processing carried out before withdrawal.
6. Disclosure of Your Information
Our own form service, FormForge, delivers form submissions (for example lead enquiries, quote requests, callback requests, contact forms, and requests from our free English learning check) to our team, and keeps a copy of each, on servers in the UAE. It does not use them for any tracking purpose.
We may share your personal data with the following categories of third parties:
- Our hosting company: It holds our website and our mail server, sends our website's pages and files, and keeps server records of those requests (see Section 11).
- Cloudflare: It delivers our website to your browser and protects it from automated abuse, and keeps server records of the requests that pass through it (see Section 11). It also gives us summaries of our website's traffic made from those records.
- WhatsApp Business: We use WhatsApp as a communication channel; messages you send are processed through the WhatsApp platform.
- Our bank's payment gateway: If you pay by card or through a payment link, you pay on our bank's own payment gateway, and we do not see or keep your card number.
- Google: We keep our client spreadsheets in Google Sheets, in our Google account.
We also disclose your data when required by law, in response to valid legal process, or when we believe disclosure is necessary to protect the rights, property, or wellbeing of our company, our clients, or the public.
We do not sell your personal data to any third party.
7. International Data Transfers
The enquiries you send us through our website's forms or by email are kept on servers in the United Arab Emirates, in our mailbox and in our own form service, FormForge, and our hosting company keeps its server records there too. Some services we use also work outside the UAE, for example: Cloudflare, which delivers every page and file of our website to your browser, may handle your requests, and keep its records of them, on its servers outside the UAE; our client spreadsheets are kept in Google Sheets, and Google may keep them on its servers outside the UAE; messages you send us on WhatsApp are handled on WhatsApp's own platform; and when our contact page shows its map, your browser loads it from Google Maps.
If where we keep your personal data, or the services that handle it outside the UAE, change, we will update this policy before the change takes effect.
We have no separate agreement with Cloudflare, WhatsApp or Google about the personal data they handle outside the UAE; each handles it under its own published terms and privacy policy.
8. Security of Your Information
We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, alteration, disclosure, or destruction. These measures include:
- Encryption of data in transit using SSL/TLS protocols.
- Restricted access to personal data on a need-to-know basis.
- Regular review of our data handling procedures.
- Secure storage with access controls and authentication.
No method of electronic transmission or storage is completely secure. While we strive to protect your data, we cannot guarantee absolute security.
9. Cookies
Our website uses only strictly necessary cookies. Our free English learning check also keeps progress in your browser's storage; our Cookie Policy says more. We do not use third-party analytics, advertising, or tracking cookies, and we do not display a cookie consent banner because none of our cookies require prior consent under GDPR, the UK PECR regulations, or the UAE PDPL.

10. Compliance with UAE Data Protection Laws
GetYourTutors complies with the United Arab Emirates' Personal Data Protection Law (Federal Decree-Law No. 45/2021) and its implementing regulations. We process personal data lawfully, fairly, and transparently. We collect data only for specified, explicit, and legitimate purposes, and we do not process data in a manner incompatible with those purposes.
11. Data Retention
We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected, including to satisfy any legal, accounting, or reporting requirements. Specifically:
- Enquiry data (the details you give us in an enquiry form or by email, such as your name, email and phone, your child's subject or curriculum and your message, including requests from our free English learning check, and the page each form was sent from): kept in our mailbox and in our form service's list, on servers in the UAE, while we follow up the enquiry until it is resolved, and for 5 years after the last message between us; then we delete it from both in our next monthly clean-up.
- Client records (tutoring session history, invoices, payment records): retained for 7 years to comply with UAE accounting and tax obligations.
- Server records: when you visit, our hosting company and Cloudflare, which delivers our website to your browser, record requests for pages and files. These records can include your device's IP address, browser type, the page or file, the website or page that linked to it, and the time. Each provider decides how long it keeps its own records. We also keep a monthly copy of our hosting company's records in our hosting account, which is set to delete each month's copy at the end of the next month. Our form service's server may also record each form you send, with your device's IP address and the time. If we need to look into a technical problem with our website, we may download copies of these records. We keep those copies only until we have finished looking into that problem, and then we delete them.
- Marketing preferences: retained until you unsubscribe or withdraw consent.
When personal data is no longer required, we securely delete or anonymise it in accordance with our data management procedures.
12. Children's Privacy
GetYourTutors provides tutoring services to children and young people. We take the privacy of minors seriously and comply with all applicable UAE regulations regarding children's data:
- We do not knowingly collect personal data directly from children under the age of 13 without verifiable parental consent.
- All student-related data (name, grade, curriculum, academic performance) is collected through parents or legal guardians.
- Student information is used solely for the purpose of delivering and improving our tutoring services.
- We do not share children's data with third parties for marketing purposes.
- Parents and guardians may request access to, correction of, or deletion of their child's data at any time by contacting us.
If you believe we have inadvertently collected personal data from a child without proper parental consent, please contact us immediately at info@getyourtutors.com and we will promptly delete the information.
12A. Free English learning check (Years 3–4)
Our free English learning check shows these notes in its details panel, "How this check handles your child's information". In them, "this browser" means the browser the check is used in, and "this page" means the check's page. Section 11 says how long we keep enquiries and our own copies of server records.
- What this check sends to us. This check sends nothing about your child to us. Answers are marked in this browser.
- What is kept in this browser. Your child's progress, finished answers and the crab colour they chose are kept in this browser until you close the tab, with what the report needs: the settings used and any changes to them, your child's year group and the term, the breaks taken, whether letters were typed on a keyboard, and the date the check finished. If you tick "Keep progress on this device for up to 7 days", they are kept for up to 7 days instead: each time the page opens it checks the date and deletes anything older. Some browsers clear it sooner. "Clear this device" removes it at once.
- Held only until this page is closed or reloaded. The name for the certificate, your child's own spellings, and how long each answer took. We use the times only to set aside very quick taps. The check doesn't save any of these or send them to us.
- What our website's servers record. Like any website, our hosting and content-delivery providers record requests for pages and files. These records can include your device's IP address, browser type, the page or file, the website or page that linked to it, and the time. That shows which year's questions were loaded. These records don't include your child's answers or name. Each provider decides how long it keeps its own records. Our privacy policy says how long we keep our own copies.
- If you share the report link. The link holds your child's answers in code. No name, no typed spellings. Anyone with the link can open the report. Apps you share it through keep their own copy, and it stays in this browser's history like any page.
- If you ask about a home tutor. We receive your email or phone number through our own form service, FormForge. The form also records that it was sent from this page, but none of your child's answers. Our privacy policy says where enquiries are kept and for how long, and you can ask us at info@getyourtutors.com to delete yours at any time. If you ask, we delete them unless the law requires us to keep them.
- What the report is. An indicative guide based on these questions. It is not a decision about your child.
- How GetYourTutors can help. This part of the report describes our in-home tutoring service. It is shown in this browser; nothing about your child is sent to us to show it.
13. Your Rights
Under UAE data protection law, you have the following rights regarding your personal data:
- Right of access: Request a copy of the personal data we hold about you.
- Right to rectification: Request correction of any inaccurate or incomplete data.
- Right to erasure: Request deletion of your data, subject to legal retention obligations.
- Right to object: Object to processing of your data for specific purposes, including direct marketing.
- Right to restrict processing: Request that we limit how we use your data in certain circumstances.
- Right to data portability: Request that we provide your data in a structured, commonly used, machine-readable format so you can transfer it to another service provider.
- Right to withdraw consent: Where processing is based on your consent, withdraw that consent at any time.

We will acknowledge your request within 5 business days and aim to fulfil it within 30 calendar days. If we need additional time, we will inform you of the reason and the expected timeline. We may ask you to verify your identity before processing your request to protect your data from unauthorised access.
If you are not satisfied with how we have handled your request, you have the right to lodge a complaint with the UAE Data Office.
